Leave Balances

    This option is used to import employee leave balances from an ASCII text file.

    Import Leave Balance Formats

    CS Time Generic Format

    The CS Time Generic Import Format is a CSV (Comma Separated) format where each line represents separate leave information.

    The main advantage of CS Time Generic Format is that it can also be used to import other information other than leave balances. The first field on each row identifies the type of record being imported. For example C is for clockings, L is for leave, R is for Rostering and so on.

    The format used is as follows:

    Optional. Usually left blank. If blank then the site code at the place of import is used.

    Required. Each employee on the site needs a unique 10 character, alphanumeric identifier.

    Required.  The balance date. In the format dd/mm/yyyy

    Required. The type of leave that the employee the balance if for. Leave Types must be pre-configured in the Configuration module.

    Optional. The leave balance in a number valid to 2 decimal places.

    Optional. 1= days, 2 = hours

    Optional. Any other information. Not used by the TNA system, but can be included on reports.

     

    Importing Leave Balance Information

    To import leave information using the CS Time Import option, proceed as follows:

    1. Select the Clockings option from the File / Import dropdown menu and the Import Clockings window will be displayed.

    1. Use the From File select button and select the path and file from which the leave balance information is to be imported.
    2. Select Generic Format.
    3. Click on the Start button to start the import operation. A progress window will be displayed while the system imports the information.
