Scheduled Reports

    CS Time includes a powerful report scheduling feature. It allows you to automatically get reports at regular intervals. For example, a manager may be interested in getting a report of late comers every morning at 9:30. By scheduling a report with a time trigger, he doesn’t need to remember to do it himself, at 9:30 it merely prints out to his printer, is displayed on the screen or e-mailed to him. Reports can also be scheduled to print when a particular access card is used or can be generated using a created desktop shortcut

     

    CONTENT

    Adding a Time Triggered Scheduled Report

    To schedule a report that is time triggered, proceed as follows:

    1. In the Configuration Module select the Schedule Reports option from the toolbar Reports drop down menu. The Scheduled Reports window will be displayed.

    1. Click on the Add button to display the Edit Schedule window.

    1. Click in the Report Name select button (Select.png)and the Select Report window will be displayed.

    1. Select the required report and click on the Select button. The Edit Schedule window will again be displayed.

     

    1. Select the Triggered By Time option.

    Fill in each of the schedule parameters as required. The parameters include:

    • On Date.  This is the date when you require the report to print or from when the first of a series of scheduled reports are to be printed. Use the Date select button to select the required date from the pop-up calendar.
    • At Time.  This is the time when the report is scheduled to print.
    • Repeat Every. If the report is to print after a required number of days, enter the number of days between printings. If this is set to 0 then the report will only be printed once. If it is set to 7 it will print at the same time every week. If it’s set to 31 then it will print at the same time each month, regardless of the month length, and if it’s set to 365 it will print at the same time each year regardless of the year length. You can specify the report to print at any other daily interval you like. If the report is only set to print once, i.e. the Repeat Every field is zero (0), then there is a check box that will tell you if the report has already been printed (will be ticked if the report has printed)
    • Week Day Check Boxes.  The week day check boxes are used to select the particular day(s) that a report must print. You may require a report every Monday, Tuesday and Friday and the Repeat Every (Days) cannot be used for this type of schedule. This can be done by selecting the particular day check boxes provided.

     

    1. Select the Set Report Parameters button. The Reports Options window will be displayed.

    1. Select whether you would like the scheduled report to print directly to a printer, to a file and screen or to be emailed.

     

    1. Use the Format select buttons to select whether you would like to email the report as a PDF file.

     

    1. With a scheduled report the date requirements are different for each type of report. Instead of filling in an exact date, you are required to use an expression relative to today’s date. The date when the report is being printed is returned by the TODAY() function. For example: If you would like to print a report for yesterday, the date field would need to be TODAY()-1.

     

    1. Using the Select Employees button, select the group of employees for whom the report is to be printed or use the Select One Employee button to select a single employee.

     

    1. Once the required options have been selected, click on the Save button. The Automatic Reports window will be displayed and the newly created scheduled report will be reflected in the list.

     

    A scheduled report can be printed immediately by selecting it and the clicking on the Print Now button. This does not change the any configurations and the report will still print as scheduled.

     

    Add a Request Triggered Scheduled Report

    Please Note: If you want to use an access card that is not assigned to an employee to generate reports, you will first have to create a fake employee (Perhaps Report Card1) and then assign the particular card to this “employee". This must be done for each card that will be used to generate reports.

     

    To schedule a request triggered report (using a card), proceed as follows:

    1. In the Configuration Module select the Schedule Reports option from the toolbar Reports dropdown menu. The Scheduled Reports window will be displayed.

    1. To add a new scheduled report, select the Add button and the Edit Schedule window will be displayed.

    1. Click in the Report Name select button (Select.png) and the Select a report window will be displayed.

    1. Select the required report and click on the Select button. The Edit Schedule window will again be displayed.

     

    1. Select the Request Card option.

    Fill in each of the schedule parameters as required. The parameters include:

    • Controller.  This is the particular Controller to which the particular Device is connected that is to be used the trigger the scheduled report. Use the Controller select button to select the required Controller.

    • Device.  This is the particular Device that is to be used the trigger the scheduled report. Use the Device select button

    • Card Number. This is the particular card (defined using the Configuration Module) that will trigger the scheduled report when it is used.

     

    1. Select the Set Report Parameters button. The Reports Options window will be displayed.

    View Scheduled Reports

    To view the Scheduled Reports, proceed as follows:

    1. In the Configuration Module select the Schedule Reports option from the toolbar Reports dropdown menu. The Scheduled Reports window will be displayed.

    If reports have been scheduled they will be displayed in the list. The list provides:

    • Report Status. An icon will be displayed in the left column that identifies the current status of the scheduled report, a green tick () identifies that the report has been printed and a clock (Clock.png)identifies that the report is still scheduled to print.
    • Report Name.  This is the name of the report scheduled to print.
    • At Date. This is the date that the report is scheduled to print.
    • At Time. This is the particular time when the report is scheduled to print.
    • Repeat Every (Days). This is the number of days after the At Date that this report must be printed agai
    • Create Shortcut button. This button will create a shortcut on your desktop. When you double-click on this shortcut icon the report will be printed (has the same function as the Print Now button).
    • Print Now button. Enables a selected and highlighted scheduled report to be instantaneously printed without affecting the schedule.

    Remove a Scheduled Report

    When removing a Scheduled Report, select and highlight the report to be removed and click on the Remove button.

    Then simply confirm that you would like to remove the report.

    Technical Notes

    In TNA 6.04f and later there is an update which allows the report scheduler to print multiple reports at the same time. The parameter "SimultaneousReports" sets how many reports will run at the same time.  This number will depend on your environment more than anything (i.e. CPU power and database access speed). It defaults to 10 reports at the same time, but you can play with this value to determine the optimum number.

    To enable this, open the checks.tps file add the following parameters:

    [Server]
    SimultaneousReports=10 (sets the amount of reports that will print simultaneously)
    ShowScheduledReportsManager=0 (This shows the reports manager - for info purposes only)
    OnlyOneReportAtATime = 1 (must always be set to one - for the web interface)

     

    Please Note:  Reports will now print at the same time, therefore the output files cannot be the same when you configure your reports.
