Shift Patterns

    The Shift Pattern option is found in the Update Employee Window (adding or changing an employee) and is available on all the levels of TNA, from Lite up to Enterprise.

    Other than assigning a default shift to an employee, it allows a user to override the default shift pattern created in the Configuration Module.  This feature does not replace shift rostering as pattern overrides is only applicable to the selected Payroll shift.

    Please note:  Daily and Payroll Shift History overrides any entries in the Shift Pattern option.

     

    CONTENTS

    The Shift Pattern Window

    1. Payroll Shift Code.  Assign a default payroll shift to the employee.  Use the select button to bring up a list of all shifts that have been defined in the Configuration Module. Select and highlight the Shift that the employee is assigned to and then click on the Select button. If this employee’s hours are not going to be processed, select the DNP option that is available.
      The default daily shift pattern for the selected payroll shift will be displayed in the Default Daily Shift Pattern block.  Day 1 corresponds to the first day of the payroll shift cycle. 
    2. Override Default Shift Pattern.  When selected this option allows the user to override the default daily shift pattern with the daily shifts in the Shift List from a defined date.
    3. Override Daily Shift List.  By default only daily shifts used in the selected payroll shift are available when overriding the shift pattern.  This option will allow the user to add daily shifts from other payroll shifts to the Shift List.

    Adding Additional Daily Shifts in the Shift List

    As mentioned above, by default only the daily shifts used in the selected payroll shift is available in the Shift List when overriding the shift pattern.

    To add more daily shifts in the Shift List, tick the Override Daily Shift List box.

    In the All Daily Shifts list, highlight the shifts you wish to add by clicking on the shift code once and then click on SP_SingleItemRight.jpg to move them into the Override Shift List.

    To add all the daily shifts created in the Configuration Module to the shift List, click on SP_AllRight.jpg button.

    You can also remove shifts from the Override Shift List using the SP_SingleItemLeft.jpg and the SP_AllLeft.jpg buttons.

    The DailyHrsIcon.jpg icon next to some of the daily shifts indicates that these daily shifts are used in the selected payroll shift.

    The Advanced button will open the Browse Daily Shifts window where the user can view, add and change daily shifts.

    Please restrict access for operators to the Browse Daily Shifts window opened when clicking on Advanced, as unauthorized changes to the daily shifts will cause incorrect hours calculations!

    Overriding the Default Shift Pattern

    The user can:

    1. Override the daily shift pattern.
    2. Override the starting and ending times for a day.
    3. Add two more daily shift codes for a day from which the processor can automatically select the code of which the daily shift schedule fits the employee clockings the best.

    To add an override, tick the Override Default Shift Pattern box.

    When an override is added, the Effective From date will default to today’s date.  The User can change this date by clicking on the change button SP_Change.jpg or by double-clicking on the date.

    The Effective From date will not necessarily correspond to Day 1 in the shift cycle.  For example, if the payroll shift cycle starts on 12/12/2008, Day 1 will fall on 12/12/2008.  An override of Day 1 effective from 15/12/2008 will only take place on 19/12/2008 (assuming that the default payroll shift cycle is setup to repeat itself after 7 days).

    Overriding the Shift Pattern

    Double click on the day you wish to change.  A drop down list will appear with a list of the Daily Shifts available.

    Select the daily shift you wish to replace the current one in the pattern.

    Click on SP_Save.jpg to save your changes.

    Changing the Starting and Ending Times for a Day

    To override the starting and/or ending time of a shift, double click on the time you wish to change.

    Type in the new time, press Enter and click on SP_Save.jpg to save your changes.

    Add Daily Shifts for Automatic Shift Selection

     

    If an employee has an option to work one of two or three shifts on a day, the user can add those options in the shift pattern.  The TNA processor will automatically select the shift which best fits the employee’s clockings for the day.

    Double click on the cell for which you want to add the additional option and select the daily shift from the drop down list.

    Selecting daily shift code A4 will have the following result:

    Click on SP_Save.jpg to save your changes.

    Returning to the Default Shift Pattern

    Removing an override record

    The user can return to the default shift pattern by selecting the date of the override record and clicking on SP_delete.jpg.  Re-processing daily and payroll hours records for the period from which the override was effective from will result in different hours for this employee.

    Adding the Default Shift Pattern as an Override

    Click on SP_insert.jpg to add the default shift pattern and edit the Effective From date.

    Changing the Payroll Shift Code

    Changing the employee’s Payroll Shift Code will result in the overrides being applied to the new payroll shift.  If you wish to retain prior Payroll Shift Information you need to make use of Payroll Shift History.
